We are looking for an energetic and experienced project coordinator keen to work with our team to lead the development and implementation of our existing hard copy and future on-line directory projects. The project coordinator will develop project plans, organise meetings, take notes, manage schedules, and ensure all materials and information are accurate and on target to meet the Directory Projects’ timelines. The role is also essential to assisting other team projects.
There is a fantastic opportunity to work with and learn from the existing person in the position for up to a month should you be available immediately.
Project Coordinator Duties and Responsibilities
Lead the development and implementation of the Annual Directory Marketing Plans, with input from the ACCI team
Ensure Directory Projects align with set strategy and budget and develop progress reports that inform the team and Board on how well the Directory Marketing Plans are delivering on the intended project outcomes.
Work to improve the Directory Projects’ processes to minimise production costs and increase advertising sales, with the Marketing and Promotions Co-Ordinator, Sales Co-ordinator and CEO.
Track and analyse project risks and recommend improvements
Communicate and manage team goals/project schedules/new information to ensure that the team responsibilities in the project are met and all material is up-to-date
Communicate timeline changes and new information to team; tracks project changes and adjust schedules as needed
Record minutes and take detailed notes during any project related meetings
Keep track of all project-related paperwork; ensure all needed materials are current and properly filed and stored
Lead the proofing of all project documentation before going to print
Prepare and execute Directory advertising contracts in a timely manner and maintain accurate information in the database (currently Salesforce)
Assist the CEO and Finance & Administration Co-Ordinator to tender and manage any external contracts required to deliver the project
Project Coordinator Requirements and Qualifications
Previous experience in project management, marketing, and/or Directory production role (hard copy and/or on-line)
Excellent written and verbal communication skills
Sound computer skills; well-versed in Microsoft Office Suite, strong and thorough knowledge of Excel.
Able to work effectively under pressure
Flexible and able to multitask on several different aspects of a project or on multiple projects
Able to produce quality work with strict deadlines
Ability to maintain safe work practices in accordance with legislation and regulatory requirements
Prompt, professional and positive manner with a customer service focus
Tertiary qualification in project management, marketing, communications, business, administration, or related field.
Experience with Salesforce and/or Xero
Ability to produce on-line graphics and deliver on-line promotions
Willingness to be flexible and assist team members to meet team deadlines
